Introduction
Multiguide Rewards helps merchants on Shopify and SHOPLINE run staff referral programs, track commissions, and manage settlements. This Privacy Policy explains what information we collect, how we use it, and the choices available to merchants, staff, and customers who interact with the App.
By installing or using the App, you (the merchant) agree to this policy for your organization. You are responsible for telling your staff and customers about data practices where required by law.
Who this policy covers
The App is used by:
- Merchants and their authorized users in Shopify Admin or SHOPLINE Admin.
- Staff invited by the merchant who use our separate staff web app.
- Customers on the merchant's online store when referral or sign-up features are enabled.
Information from merchants
When you install and use Multiguide Rewards on Shopify or SHOPLINE, we may collect:
- Store details needed to connect the App (such as store name, domain, currency, and timezone).
- Account and sign-in information for the merchant app.
- Settings you configure, including staff, commission rules, regions, settlements, and your subscription plan.
- Records needed to operate the service, provide support, and keep it secure.
Referrals, orders, and storefront activity
To attribute sales and sign-ups to the right staff member, the App may process:
- Referral links, codes, or related information when customers shop on the merchant's store.
- Order and customer information needed to calculate commissions, apply discounts, and handle refunds.
- Storefront activity related to referrals when those features are turned on (capabilities may differ slightly between Shopify and SHOPLINE).
- Cookies or similar technologies on the storefront to remember referral context during a visit, as allowed by the merchant's store settings.
- Privacy requests required by Shopify or SHOPLINE (such as customer data access or deletion) so we can respond on the merchant's behalf.
Staff web app
Staff use a separate mobile-friendly app (not Shopify Admin or SHOPLINE Admin). We may process their name, contact details, login information, assigned store roles, and commission or settlement information linked to their account.
How we use information
We use collected information to:
- Provide, secure, and improve referral, commission, settlement, reporting, and billing features.
- Sign in merchants and staff and apply plan limits (such as team size or order quotas).
- Create reports or exports requested by authorized merchant users.
- Respond to support requests and privacy requests from Shopify, SHOPLINE, or individuals.
- Detect abuse, fix problems, and meet legal obligations.
Data retention and deletion
We keep merchant and operational data while the App is installed and for a reasonable period afterward for legal, accounting, and backup needs. When you uninstall the App, we delete or anonymize data in our systems as required by the platform and applicable law. Customer deletion requests received through Shopify or SHOPLINE are applied to related commission and referral records.
Security
We use reasonable technical and organizational measures to protect information, including encrypted connections and access controls. No online service is completely risk-free; please protect your Admin accounts and staff login details.
Your rights and merchant responsibilities
Depending on where you live, you may have rights to access, correct, delete, or limit use of personal data. Merchants are usually responsible for customer privacy requests for their store; we help coordinate when Shopify or SHOPLINE sends a required request. International transfers
Data may be processed in countries where our servers and service providers operate. By using the App you consent to such transfers subject to applicable safeguards.
Changes to this policy
We may update this Privacy Policy from time to time. We will revise the "Last updated" date at the top of this page. Continued use of the App after changes constitutes acceptance of the updated policy where permitted by law.
